How we use the details you send us through this website.

Who we are

Nordic Controls Ltd (company no. 17386344, registered office Unit A, 82 James Carter Road, Mildenhall, Suffolk IP28 7DE) is the controller of the personal data described here. Contact: info@nordiccontrols.co.uk.

What we collect

When you send a quote request we collect your name, email address and anything else you choose to give us — company, phone number, delivery postcode and the details of your request. We also record the time of the request and a one-way scrambled (hashed) form of your IP address, used only to stop the form being flooded; the address itself is not stored.

Why, and our lawful basis

We use these details to reply to your request and to prepare and follow up a quotation. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in answering business enquiries. If you become a customer, we keep order and invoice records because the law requires us to.

The website chat

The "Ask Freya" chat is an AI assistant. While you chat, your messages are sent to our systems and to Anthropic (who provide the AI model) to produce a reply. We don't keep chat conversations: the conversation is held only in your browser tab and is cleared when you close it. If you ask Freya to send an enquiry, the details you give (name, email, what you need and anything optional) and your side of the conversation are stored with the enquiry, just as if you had used the form. To limit misuse, we count chat messages against a scrambled (hashed) form of your IP address for up to three days.

Cookies and tracking

This website does not use cookies, analytics or advertising trackers. Fonts are served from our own site.

Where it is kept and who can see it

Requests are stored in our business systems, which run on Cloudflare and Amazon Web Services, and copies are kept in our Zoho email account. Only Nordic Controls staff can see them. We use an AI assistant (Claude, provided by Anthropic) to help prepare quotations, so the details of your request may be processed by Anthropic as our data processor. We do not sell your details or share them for marketing.

How long

Enquiries that don't lead to an order are deleted after 24 months. Records of orders and invoices are kept for 6 years, as required for tax.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, or object to how we use it, by emailing info@nordiccontrols.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.
